Privacy Policy

1. Who we are

AxdIt is a service operated by Softify ("we", "us", "our"). For the purposes of UK data protection law, Softify is the data controller responsible for your personal data. If you have any questions about this policy or how we handle your data, contact us at hello@axdit.com.

2. Data we collect

We collect the following categories of data when you use AxdIt:

  • Account information — your name, email address, and organisation details when you register.
  • Asset data — information you and your team upload as part of building audits, including asset records, photos, notes, and floor plan references.
  • Usage analytics — anonymised data about how you interact with the product (page views, feature usage, error events) to help us improve the service.

3. Legal basis for processing

We process your personal data under the following lawful bases as set out in the UK GDPR:

  • Contract performance — processing your account and asset data is necessary to provide the AxdIt service you have subscribed to.
  • Legitimate interests — we use usage analytics to maintain, improve, and secure the service. This processing is proportionate and does not override your privacy rights.

4. Data storage and transfers

All data is stored on servers located in the United Kingdom. We do not transfer your personal data to countries outside the UK or EEA. We use carefully selected sub-processors who are contractually bound to the same data protection standards and who store data within UK/EEA infrastructure only.

5. Data retention

We retain your account data and asset data for the duration of your active subscription. Following cancellation or account closure, your data is held for 30 days to allow for reactivation or export. After that period, your data is permanently deleted from our systems.

Anonymised usage analytics may be retained for longer periods as they do not contain personal data.

6. Your rights under UK GDPR

You have the following rights in relation to your personal data:

  • Right of access — you can request a copy of the data we hold about you.
  • Right to rectification — you can ask us to correct inaccurate or incomplete data.
  • Right to erasure — you can request deletion of your data (subject to legal obligations).
  • Right to portability — you can receive your data in a structured, machine-readable format.
  • Right to object — you can object to processing based on legitimate interests.

To exercise any of these rights, email us at hello@axdit.com. We will respond within 30 days. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies

AxdIt uses essential cookies required for the service to function (authentication sessions, CSRF protection). We do not use advertising cookies or share data with ad networks.

8. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you by email if we make material changes. The effective date at the top of this page will always reflect the most recent update.
