At AxdIt, we help organisations keep track of their workplace furniture and equipment using AI. This page explains what information we collect when you use our website or platform, why we collect it, and how we look after it.

If you’re using AxdIt through your employer, your company’s own admin controls how your data is used within the platform this policy explains how AxdIt itself handles things behind the scenes.

What information we collect

• Your account details — name, work email, job title, and company name, so you can log in and use AxdIt.
• How you use the platform — things like when you log in, what pages you visit, and what actions you take, so we can keep things running smoothly and securely.
• Photos of furniture and equipment — taken during an audit, along with the details our AI works out from them (like brand, condition, and estimated value). These are photos of desks, chairs and equipment, not people — though a photo taken in an office might occasionally catch someone in the background.
• Enquiry details — if you get in touch or book a demo, we’ll collect your name, email, and company so we can get back to you.

We don’t ask for or want sensitive personal information (like health data), and we’d ask that you avoid capturing this in any audit photos too.

Why we collect it

We use this information to:

• Give you access to AxdIt and keep your account secure
• Make our AI asset detection more accurate over time
• Reply to questions, support requests, and demo bookings
• Send you helpful updates about the Service, and — only if you’ve said yes — occasional marketing emails
• Meet our legal and accounting obligations

Who we share it with

We only share information with trusted providers who help us run AxdIt — for example, secure cloud hosting and the tools we use for AI processing, customer support, and email. They’re only ever allowed to use your data to provide that service to us, never for their own purposes. We never sell your personal information.

If AxdIt were ever acquired or merged with another company, your information might transfer as part of that — we’d let you know if that happens.

Where your data is stored

Your data is hosted in the UK and EU. If we ever need to use a provider based outside the UK/EU, we make sure proper legal safeguards are in place first.

How long we keep it

We keep your account information for as long as your organisation’s subscription is active, plus a short period afterwards for legal and accounting reasons. Photos and audit data are kept according to your own organisation’s settings, since that’s your organisation’s data, not ours.

Cookies

Our website uses a small number of cookies some essential for the site to work, and (only with your permission) some that help us understand how the site is used. You can manage your preferences via the cookie banner or your browser settings.

Your rights

You can ask us to:

• Show you the personal data we hold about you
• Correct anything that’s inaccurate
• Delete your data, in most circumstances
• Stop or limit certain uses of your data
• Send you a copy of your data in a portable format
• Stop sending you marketing emails, at any time

If you work for one of our customer organisations and want to ask about audit data specifically, it’s best to start with your own company’s AxdIt admin, since they control that data. For anything else, get in touch using the details below.

You also have the right to complain to the UK’s Information Commissioner’s Office (ico.org.uk) if you’re not happy with how we’ve handled your data.

Keeping your data safe

We use industry-standard security measures like encryption and access controls — to keep your information safe, and we review these regularly as AxdIt grows.

Changes to this policy

We may update this policy from time to time as AxdIt evolves. We’ll update the date at the top when we do, and let you know directly if anything major changes.
